ORAL PRESENTATION GUIDELINES

Duration & Timing

· Each oral presentation is scheduled for 30 minutes, including discussion.

· Please plan for 20 minutes of presentation and allow 10 minutes for Q&A.

· The session chair will keep time and facilitate discussion.

Format & Equipment

· Presentations should be in PowerPoint format (.ppt or .pptx).

· Files should be sent to hmmwg.eaps@gmail.com by 10 September.

· Please bring a backup on a USB flash drive.

· Indicate in your email whether your presentation may be shared online.

· The session room will have a laptop, a projector, and a microphone.

Onsite Details

· Please arrive at your session room 10 minutes before the start to meet the chair and test equipment if needed.

· The official language of the workshop is English.

 

POSTER PRESENTATION GUIDELINES

Poster Size and Setup

· Recommended size: A0 (portrait orientation)

· Poster boards are 1 m wide × 2 m tall

· Please use paper posters (preferred over fabric)

Presentation Time

· Posters will be displayed during the lunch breaks on Day 1 and Day 2

· Presenters are expected to be available near their posters to engage with participants

Content Suggestions

· Use visuals, concise text, and bullet points

· Include title, authors, affiliations, methods, findings, and key conclusions

· Avoid overcrowded tables or text-heavy designs

 

SESSION CHAIR GUIDELINES

Before the Session

· Arrive 10 minutes early to meet presenters and check the order

· Confirm name pronunciations and any technical needs

During the Session

· Start the session on time

· Briefly introduce yourself, the session, and each speaker

· Keep time and signal speakers at 5 and 2 minutes remaining

· Facilitate Q&A and discussion after each talk or at the end, depending on the session format

· If a speaker is absent, do not adjust timing —keep the published schedule

After the Session

· Conclude on time

· Thank the speakers and audience
